Finding Requests for PPE

In this doc, you'll learn: tips and strategy for performing outreach to establish relationships with consumers of your PPE.

Quickstart / Summary

  • Establish an explicit organizational scheme for requests and share it with all team members.
  • Use your web presence to direct people to an intake form that collects all the info you'll need; make sure this form populates a simple database like a google spreadsheet.
  • Emphasize putting this form and its instructions in front of prospective clients through personal contacts and your social media team.

Step 1: Set Up Intake

  • It’s important to get requests in one place and to stay organized as you get more requests or as new team members join. Have clear instructions for your team members.
  • Create an intake form where people can fill out requests. We recommend a Google Form. It’s important to collect all the information you will need to fulfill requests including what they need, quantity, contact info and delivery info. Here’s a template you can copy; it includes the following fields:
    • Requesting organization name
    • What PPE do you want, and how many
    • Contact person info (name, role, phone, email)
    • Delivery location
    • Delivery instructions
    • Future PPE type requests

Step 2: Publish Clear Instructions for Making Requests

  • You main webpage should have clear cut information and or directions to enable participants make accurate requests for faster and efficient service, such as information on product(s) and use.
  • For transparency main page should also give an estimate as to when participants may be contacted to avoid multiple requests from the same party.

Step 3: Soliciting Requests

  • Be sure to get this form in front of the people who need to see it. That may mean personal reach-outs to hospitals, or sharing on social media.
